Terms & Conditions & Special Information

Your travel and/or tour arrangements provided by Costa Rica on Track are subject to all the terms and conditions set forth in this statement. Please read this entire statement as carefully as possible.

Reservation and Payments

Once you have placed your request we will provide you a confirmation of services by Email within 48 hours. In order to secure your confirmed services, a $150 per person non-refundable deposit is required within 4 working days upon your receipt of our e-mail confirmation. Balance is due 30 days prior to your arrival date. Bookings taken within 30 days of travel date, require full payment upon receipt of our e-mail confirmation, otherwise it will be cancelled. Due to the popularity of the destination, the small size of some boutique hotels, inn and lodges, and during certain holiday periods, additional deposits and/or payments may be required to continue holding the confirmed space prior to 30 days before arrival. If so, you will be notified accordingly. For travel during December 01 - January 15 final payment is due 60 days prior to arrival date. Payments should be received based on the corresponding deadlines. Otherwise, services will be canceled. If you are paying with a money order, please allow at least ten working days for your payment to be received in our offices.

Credit Card Payments
We accept Visa, Master Card, Discovery and American Express. A credit card authorization form will be submitted along with our confirmation of services. The form should be filled, signed, and return via fax to (011 506) 256-0120. Please note that charges will appear in your statement under Green Heritage Tours.

Travel Documents
Confirmation and a master travel voucher will be sent to your e-mail address specifying all services purchased through Costa Rica on Track. Individual service vouchers will be available to you at the first location of your contracted service in Costa Rica

Airfares and Air Transportation
Air Transportation service on contracted scheduled Airlines, and/or charter air carriers is included when requested by client. The airlines and their agents and affiliates are not responsible for any act, omission, or event during the time passengers are not on board the aircraft. The passenger ticket in use by said airline, when issued, shall constitute the sole contract between the Airlines and the purchaser of these tickets and/or passengers.

Baggage

For domestic flights and shuttle bus services within Costa Rica, it is allowed 25 pounds per person maximum luggage weight. Extra luggage may be stored at your San Jose hotel or in our office. Extra luggage delivery charges may apply. Costa Rica On Track accepts no liability for loss or damage to luggage; this is the travelers' responsibility.

Entry Requirements
As in most of the countries, in order to visit Costa Rica, the traveler must show his or her passport. The passport must be valid during the following 6 months from the entry date to Costa Rica. We cannot assume responsibility for denied boarding by the airlines and therefore you not showing up as scheduled. For detailed information about this subject, please go to our Entry Requirements section.

Cancellations and Refunds
If you cancel your reservation, your right to a refund is limited. The following fees will apply in addition to any supplier fees of penalties. $150 per person 29 to 15 days prior to travel date, and 50% of the total package price 14 to 7 days prior to travel date. Cancellations made within 7 days of travel date are non-refundable. All cancellations must be stated in writing. There will be NO REFUNDS FOR UNUSED SERVICES.

Changes, Fees & Costs
Once an itinerary is confirmed, one change is free of charge. Subsequent changes have a fee of $ 35.00. Any changes made to the itinerary by the passenger once the trip has commenced are the sole responsibility of the passenger. There will be no refunds for unused services. Our rates do not include (unless otherwise indicated): International Airfare, car rental insurance (except when indicated) and security deposit, passport and/or visa fees, international departure taxes, and local airport taxes. Items of a personal nature, such as tips (except where specified), excess baggage charges, food and beverages (except where indicated), and any other charges in excess of those covered by the prepaid package.

Other Important Information
Our prices are based on tariffs and exchange rates at the beginning of each year and are subject to change without prior notice. Rooms are standard Run-of-the-House basis unless otherwise indicated. Triples and Children use existing beds. Extra Bed Charges may apply. Some prices shown here are not necessarily the same as those posted by some establishments. In some cases, prices are lower or a service charge may have been added to cover our operation. Prices include compensation to operator for professional advice, recommendations, services, knowledge, expertise and experience, salaries and overhead costs, computers, fax, telephone and operation cost, advertising, promotion, and other costs required to offer highly specialized professional services. Costa Rica on Track will not accept any claims for any price disparities once the tour proposal and quotation has been accepted, deposited and/or paid by clients. We accept no responsibility for losses or accidental expenses incurred as a result of defaults, sickness, weather conditions, strikes, war, riots, insurrections or other such similar causes. These losses and/or expenses are the responsibility of the traveler. There will be no refunds for unused services.The operator and its representatives and/or suppliers reserve the right to decline to accept or retain any person as a tour passenger should such person’s health, or mental condition, or physical infirmity or general deportment, impede the operation of the tour or the rights or welfare or enjoyment of the other tour passengers. In a situation like this, a refund for unused land services is the limit of Costa Rica on Track liability.

Responsibility

Agencia de Viajes Herencia Verde S.A., D.B.A. Costa Rica on Track, is principal and tour operator. We arrange with domestic airlines, hotels, and other independent parties to provide you with the travel services you purchase. These parties are independent suppliers over whom we have no direct control. We are responsible to you for all services and accommodations offered which are under the direct control of Costa Rica on Track. However in the absence of negligence on our part, we are not responsible for any claims, losses, damages or delay of baggage or other property; or delay, inconvenience, loss of enjoyment, distress or frustration, whether physical or mental arising from (1) the act or omission of any party other than Costa Rica on Track and its employees; (2) mechanical breakdown, government actions, weather or other factors beyond our control; (3) failure to obtain documents, passports, visas and health certificates valid through the date of reentry, when required, in which case a cancellation charge will be assessed; (4) failure to follow instructions including but not limited to check-in and check-out times and baggage handling; (5) cancellation or change for any reason in travel services offered; and (6) medical or health problems or physical disabilities.

Costa Rica on Track
reserves the right to cancel or alter the travel services at its discretion except as otherwise noted herein. In the event of change, complete cancellation by Costa Rica on Track, we shall refund all monies paid to us. No agent, employee, or representative of Costa Rica on Track or any person whose services are used by Costa Rica on Track has the authority to alter, modify or waive any of the provisions herein.

Travelers choosing to participate in these vacation programs do so at their own risk. Costa Rica on Track is not to be held responsible for injuries, damage expenses and/or costs resulting from accidents or accidental death while participating in these vacation programs.
